Data deletion

To request deletion, email dpo@nexkoins.com from the address or about the phone number concerned. We acknowledge within 5 working days and complete verified requests within 30 days.

Which kind of request is yours?

KopiDesk holds two different sorts of information, and they are deleted differently. The distinction matters because most data in KopiDesk belongs to a business, not to us.

1. You are a business using KopiDesk

You can ask us to delete your account and everything in it: your conversations, contacts, leads, tasks, appointments, staff accounts, uploaded files, and any connections to WhatsApp, Google or Meta.

Email dpo@nexkoins.com from an owner address on the account, stating:

• your business name as it appears in KopiDesk
• whether you want the whole account deleted, or only a specific part

We will confirm you are an owner before acting. Deletion is permanent and cannot be reversed, so we ask you to confirm once in writing before we begin. If you want your records first, export your leads and conversations to a spreadsheet from inside the product before asking.

2. You messaged a business that uses KopiDesk

If you are a customer who sent a WhatsApp or Telegram message to a business, that conversation is the business's record of its own customer. They decide what happens to it; KopiDesk stores and processes it for them.

You have two routes, and either is fine:

• Ask the business directly. They can delete the conversation themselves, and they are usually fastest.
• Or email dpo@nexkoins.com with the phone number you messaged from and, if you know it, the name of the business. We will act on it and inform the business, because the record is theirs.

We may ask you to confirm control of the phone number before deleting anything, so that nobody can erase somebody else's conversation.

3. You administer a connected Facebook, Instagram or WhatsApp account

Removing KopiDesk from your Meta Business account stops any further data flowing to us. It does not by itself delete what has already been received, because that data belongs to the business whose customers sent it. To have it deleted as well, email dpo@nexkoins.com and say so explicitly.

You can also disconnect at any time from inside KopiDesk, under Setup. Disconnecting deletes the stored access token immediately.

What we delete, and what we keep

On a verified deletion request we remove the data from our live systems, including:

• messages, contact names and phone numbers
• leads, deal values, tasks and appointments
• stored access tokens for WhatsApp, Meta and Google
• any attribution we hold about which advertisement an enquiry came from

Two honest exceptions. Encrypted backups are kept on a rolling schedule and age out within 35 days — we do not restore deleted data from them. And we keep the minimum records we are legally required to keep, such as invoices and payment records, which Singapore law obliges us to retain.

Deletion from KopiDesk does not delete anything held by Meta or Google. Those are separate controllers, with their own tools.

Your rights

Consistent with Singapore's Personal Data Protection Act (PDPA), you may ask for access to, correction of, or deletion of personal data we hold about you. Our Privacy Policy explains what we collect and why.
